1. About this policy
Impulse Electrical Enterprise Pty Ltd (ABN 42 660 200 984) trading as Impulse Sourcing (“we”, “us”, “our”) is an Australian sourcing and import business. We source building products — including joinery, staircases, flooring, tiles, tapware, fixtures and windows — from overseas manufacturers and supply them to Australian builders, developers and trade customers, together with associated compliance documentation.
This policy explains how we collect, hold, use and disclose personal information, and how you can access, correct or complain about our handling of it. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy applies to our website, our enquiry and quoting process, and our dealings with customers, suppliers, contractors and service providers.
2. What personal information we collect
We generally deal with businesses rather than individuals, but in doing so we collect personal information about the people who work for or represent those businesses. This may include:
- Identity and contact details — name, job title, employer, email address, phone number, postal and site addresses, and messaging identifiers such as WeChat or WhatsApp IDs.
- Business details — ABN or ACN, licence numbers, and (where you are a sole trader) information that is both business and personal information.
- Project information — site addresses, plans, specifications, quantities, delivery instructions and access arrangements.
- Transaction and financial information — quotes, purchase orders, invoices, payment records, and bank or remittance details. We do not store full credit card numbers.
- Import and compliance information — details required for customs clearance, biosecurity, illegal logging due diligence, and product certification records.
- Correspondence — emails, messages, call notes and enquiry form submissions.
- Website and technical information — IP address, browser and device type, pages visited, referring site and similar analytics data collected through cookies (see section 8).
We do not seek to collect sensitive information (such as health, racial or political information) and ask that you do not send it to us.
3. How we collect personal information
We collect personal information:
- directly from you, when you contact us, request a quote, place an order, or correspond with us by email, phone or messaging app;
- through forms on our website;
- from your organisation, agents or consultants (for example an architect, builder or project manager acting for you);
- from our suppliers, freight forwarders and customs brokers in the course of arranging your order;
- from publicly available sources such as business websites, ABN Lookup and licence registers.
If we collect your personal information from someone other than you, we will take reasonable steps to notify you of the matters set out in this policy.
If you choose not to provide information we ask for, we may be unable to quote for, arrange, import or deliver your order.
4. Why we collect, hold and use personal information
We use personal information to:
- respond to enquiries and prepare quotes;
- arrange and administer orders, including placing orders with overseas manufacturers;
- arrange freight, consolidation, shipping, customs clearance and delivery;
- prepare and hold compliance and certification documentation, and meet regulatory obligations relating to imported goods;
- invoice, collect payment and manage accounts;
- provide after-sales support and handle warranty or defect claims;
- maintain our business records and comply with tax, customs and other legal obligations;
- send you information about our products and services (see section 7);
- improve our website and services.
We hold personal information only for as long as it is needed for these purposes or as required by law. Import, customs and tax records are generally retained for at least five years. When information is no longer needed and we are not required to keep it, we take reasonable steps to destroy or de-identify it.
5. Who we disclose personal information to
We may disclose personal information to:
- overseas manufacturers and suppliers — to place, produce, mark and ship your order (see section 6);
- freight forwarders, consolidators, shipping lines and transport operators — to arrange carriage and delivery;
- licensed customs brokers — to lodge import declarations on your behalf;
- government agencies and regulators — including the Australian Border Force, the Department of Agriculture, Fisheries and Forestry, and the Australian Taxation Office, where required or authorised by law;
- testing laboratories, certifiers and certification bodies — where product certification or evidence of compliance is required;
- our professional advisers — accountants, bookkeepers, insurers and lawyers;
- our service providers — including accounting, email, file storage, customer management and website hosting providers;
- any other person — where you consent, or where disclosure is required or authorised by law.
We do not sell personal information.
6. Overseas disclosure
Because we source products internationally, we routinely disclose personal information to recipients outside Australia. In particular:
- The People’s Republic of China (including Hong Kong SAR) — manufacturers, factory representatives, quality inspectors and freight agents involved in producing and shipping your order. This commonly includes your name, company, contact details, delivery address and order details, so that goods can be manufactured, marked, packed and shipped correctly.
- Singapore, Malaysia and other transhipment ports — shipping and port agents, where a shipment is transhipped.
- The United States and other countries — where our software and cloud service providers store or process data.
By dealing with us and providing your information for the purpose of an order, you consent to us disclosing your personal information to these overseas recipients. Where we rely on your consent under APP 8.2(b), we may not be required to take steps to ensure the recipient handles your information in accordance with the APPs, and the recipient may not be subject to laws that are substantially similar to the Privacy Act or to enforcement mechanisms accessible to you in Australia.
Where practical, we limit what we send overseas to what is necessary to fill the order, and we include confidentiality obligations in our supplier agreements.
If you do not want your details disclosed overseas, please tell us before placing an order. We will discuss alternatives with you, but we may be unable to proceed.
7. Direct marketing
We may send you information about our products, services, pricing and industry updates by email or messaging app, where you have requested it, or where you would reasonably expect it because of an existing business relationship.
Every marketing message will include an unsubscribe option. You can also opt out at any time by contacting us at info@impulseelectricalenterprise.com.au. We will action opt-out requests promptly and at no cost to you. Opting out of marketing does not stop operational messages about an order you have placed.
9. Security
We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include access controls and passwords on our systems, use of reputable service providers, secure storage of physical documents, and staff and contractor confidentiality obligations.
No method of transmission or storage is completely secure. Please do not send bank details or other sensitive financial information by unsecured email or messaging app. If we ask you to change payment details, verify the request by phone using a number you already hold for us.
If we become aware of a data breach that is likely to result in serious harm, we will assess and respond to it in accordance with the Notifiable Data Breaches scheme, including notifying affected individuals and the Office of the Australian Information Commissioner (OAIC) where required.
10. Accessing and correcting your information
You can ask us for access to the personal information we hold about you, and ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading.
Please make requests in writing to info@impulseelectricalenterprise.com.au. We may ask you to verify your identity. We will respond within a reasonable period, usually 30 days. There is no charge for making a request, though we may charge a reasonable fee for the cost of providing access. If we refuse access or correction, we will tell you why in writing and explain how you can complain.
11. Complaints
If you think we have breached the Australian Privacy Principles or mishandled your personal information, please contact us first at info@impulseelectricalenterprise.com.au with details of your concern. We will acknowledge your complaint and aim to respond within 30 days.
